The ASL Extension, LLC (“ASLE,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit our website, submit a form, communicate with us, receive or request services, or use the ASLE portal through the portal.
We collect contact information that you voluntarily provide, including your name, email address, telephone number, organization, job title or role, mailing address, and preferred method of contact. We also collect interpreter request information, including event or assignment details, dates, times, locations, venue information, virtual meeting information, accessibility needs, service preferences, requested team size, prep requirements, billing information, and notes you choose to provide.
We collect account and profile information, including account role, organization affiliation, professional background, certifications, work preferences, availability preferences, languages, experience, payment or invoicing preferences, and login or authentication information. We collect files or documents you upload, such as scripts, schedules, setlists, recordings or links, resumes, credentials, insurance documents, tax forms, agreements, invoices, receipts, reference materials, and other materials related to services or portal use.
We collect communications, feedback, form submissions, portal messages, email correspondence, notes, calendar responses, availability responses, confirmations, and other communications sent through the website, portal, email, or related systems. Some requests may involve sensitive information about accessibility needs, disability-related accommodations, or individuals attending or participating in an event. We ask users to provide only the information reasonably necessary for ASLE to coordinate the requested service.
We encourage users not to submit confidential, sensitive, or personal information that is unrelated to the requested service or that is not reasonably necessary for ASLE to perform its work.
We automatically collect basic technical information such as IP address, browser type, operating system, device type, referring page, pages visited, approximate location, timestamps, and interactions with website features. Depending on the tools enabled on the website, we collect cookie, analytics, performance, and error-reporting information. If the portal records activity and security logs, those logs includes login activity, account changes, workflow actions, notification history, document activity, and other information needed for security, troubleshooting, service history, and accountability.
We use information to respond to questions, interpreter requests, partnership inquiries, workshop or consulting inquiries, accessibility requests, and other communications. We uses information to review, approve, coordinate, schedule, and complete interpreting services, accessibility support, workshops, consulting, live-event access, performing arts services, and related business activities.
We use information to create and manage website or portal accounts, roles, permissions, profiles, requests, assignments, teams, coverage needs, availability blasts, responses, confirmations, documents, communications, invoice and payment statuses, and service histories. We send confirmations, updates, reminders, calendar invitations, availability requests, assignment notices, service-related messages, account notices, and other communications necessary to operate the website, portal, and ASLE services.
We also use information to operate, secure, troubleshoot, test, improve, and measure the performance of our website, portal, forms, calendar functions, accounting functions, and related systems. Information is used to prevent misuse, verify identity, enforce agreements, maintain business records, comply with legal and accounting obligations, resolve disputes, and protect ASLE, our users, our contractors, our clients, and the public.
We collect and use only the information that is reasonably necessary to operate our business, coordinate services, communicate with users, maintain accurate records, and fulfill the purposes described in this Privacy Policy.
ASLE connects the portal to The ASL Extension’s authorized Google Workspace calendar. The purpose of this connection is to create and maintain company calendar records for approved requests, assignments, events, meetings, rehearsals, travel, prep deadlines, and other business activities managed through the portal. Calendar records include the event or assignment name, date, time, location, virtual link, portal link, preparation information, notes, contact details, and links to relevant documents or attachments when technically appropriate.
The portal may create new events on the ASLE company calendar, update existing events when dates, times, locations, details, coverage, or confirmed participants change, and cancel or revise calendar entries when an event or assignment is changed or cancelled. ASLE may add assigned interpreters, clients, collaborators, venue contacts, or other appropriate participants as invitees so they may receive a calendar invitation and choose whether to add the item to their own calendar. Calendar invitations and individual Add to Calendar options may support Google Calendar, Apple Calendar, Outlook, or a standard ICS calendar file.
The intended Version 1 calendar integration is for ASLE’s authorized company Google Workspace calendar. Individual interpreters, clients, or organizations are not expected to connect their personal Google accounts for full calendar synchronization. Receiving an invitation or manually adding an individual event to a personal calendar does not give ASLE general access to that person’s private calendar. ASLE does not intend to read, copy, analyze, or use unrelated personal calendar events.
Google Calendar information will be used only for scheduling, coordination, invitations, operational record keeping, and maintaining accurate company records related to ASLE requests, assignments, and events. ASLE will not sell Google user data, use it for advertising, or use it for purposes unrelated to the calendar and operational features clearly disclosed to users.
Google integrations are enabled only as needed to support ASLE services and features. Permissions requested are limited to those reasonably necessary for the functionality being used. Before any Google authorization feature is released, this section must be revised to identify the exact Google data accessed, the exact permissions requested, the actions performed on the authorized account, whether tokens or calendar data are stored, how and where they are stored, how long they are retained, who can access them, how authorization are revoked, and how deletion are requested. ASLE will request only the Google permissions reasonably necessary for features that have actually been implemented and will update this Privacy Policy and obtain any required consent before using Google data in a materially different way.
ASLE connects the portal or related business systems to QuickBooks or other Intuit services. The purpose of that integration will be limited to ASLE bookkeeping, accounting, invoicing, payment tracking, expense tracking, receipt management, reconciliation, financial reporting, tax preparation support, and related internal business administration.
Depending on the final integration, information sent to or received from QuickBooks includes client and vendor names, contact details, invoice numbers, invoice dates, service descriptions, amounts billed, payments received, payment status, outstanding balances, expenses, reimbursements, receipts, interpreter or contractor payment records, transaction categories, account references, and other information reasonably necessary to maintain accurate books and financial records. The integration may also help ASLE create invoices, update invoice and payment statuses, match or reconcile transactions, organize receipts and expenses, review revenue and costs, and prepare profit-and-loss or other financial reports.
QuickBooks information will be used only for legitimate bookkeeping, accounting, financial management, business reporting, record retention, and tax-related purposes. It will not be sold, used for advertising, or used to determine creditworthiness. Access will be limited to ASLE and authorized service providers, accountants, bookkeepers, tax professionals, or contractors who need the information to perform approved business functions and who are expected to protect its confidentiality.
QuickBooks integrations are enabled only as needed to support ASLE business operations. Before the integration becomes available, this policy must be updated to identify the exact data accessed, the permissions requested, the actions performed, the vendors involved, the storage and retention practices, and the method for disconnecting the integration. Users should not assume that the portal replaces QuickBooks or provides banking, payroll, tax, or legal advice.
The website uses cookies or similar technologies for essential website functions, security, preferences, performance measurement, and analytics. The exact tools in use should be confirmed before publication. Where required, visitors will be offered appropriate cookie choices. You may also manage cookies through your browser settings, although disabling some cookies may affect website functionality.
Analytics tools collect information about how visitors reach and use the website, such as pages viewed, approximate location, device and browser type, referral source, and interaction patterns. ASLE intends to use this information to understand website performance, improve navigation and content, measure outreach, and identify technical problems. ASLE does not intend to use analytics information to identify individual visitors unless necessary for security, troubleshooting, or responding to a user request.
The ASL Extension is committed to protecting your privacy. We will never sell your personal information, contact information, or personal data. We do not believe personal information should be treated as a product, and selling user information is not part of our business model. Information collected through our website and portal is used only as reasonably necessary to provide, coordinate, improve, and support our services, maintain business records, comply with legal obligations, and operate our business. We do not sell, rent, trade, license, or otherwise monetize personal information.
We share information only when reasonably necessary to provide our services, operate our website or portal, comply with legal obligations, protect the rights or safety of others, or support the normal operation of our business as described in this Privacy Policy.
We share information with interpreters, clients, collaborators, venues, organizations, event contacts, production teams, or other appropriate participants when sharing is necessary to review, coordinate, prepare for, or complete an approved request, assignment, event, workshop, consultation, or related service. We aim to limit information shared with each participant to what is reasonably necessary for that person’s role.
We disclose information to professional advisers, accountants, bookkeepers, tax professionals, insurers, regulators, courts, law enforcement, or other authorities when required by law or reasonably necessary to protect rights, safety, security, or the integrity of our services. Information may also be transferred to a successor organization in connection with a merger, reorganization, financing, acquisition, or sale of all or part of the business, subject to appropriate confidentiality and data-protection measures.
We retain information only as long as reasonably necessary for the purposes described in this policy, to coordinate and document services, maintain business, calendar, accounting, tax, insurance, and legal records, resolve disputes, enforce agreements, prevent misuse, and comply with applicable obligations. Retention periods may vary by record type. Certain financial, tax, agreement, payment, invoice, and service records are retained for longer periods when required or reasonably necessary for legitimate business purposes.
We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, use, alteration, loss, or disclosure. These measures include access controls, account permissions, password protections, secure service providers, encrypted connections, backups, activity logs, and limits on who can view particular records. No website, transmission, integration, or storage system can be guaranteed completely secure, and users should avoid submitting information that is not necessary for the requested service.
Depending on your location and applicable law, you may request access to, correction of, or deletion of certain personal information. You may also update portal profile information, unsubscribe from non-essential communications, decline calendar invitations, remove an event from your personal calendar, or revoke third-party authorizations through the applicable provider. Revoking an authorization may prevent the related feature from continuing to function.
Some information is retained when required for legal, security, accounting, tax, insurance, dispute-resolution, contract, or legitimate business purposes. Requests are subject to reasonable identity verification. To make a privacy request, contact ASLE using the information listed below.
The website and portal are not directed to children under 13, and ASLE does not knowingly collect personal information directly from children under 13 without appropriate authorization. Information about a minor may sometimes be provided by a parent, guardian, school, organization, or client when necessary to arrange services. If you believe a child has provided information improperly, please contact us so we can review and address the matter.
The website, portal, emails, calendar invitations, or resource pages may link to third-party websites, calendars, ticketing pages, social platforms, virtual meeting platforms, documents, resources, payment services, or other systems. Their privacy and security practices are governed by their own policies, and ASLE is not responsible for their content, availability, or practices. Users should review the policies of third-party services before providing information or connecting an account.
We update this Privacy Policy as the website, portal, services, integrations, vendors, or legal requirements change. The revised policy will be posted with an updated effective or last-updated date. Material changes affecting how authorized Google data, QuickBooks data, financial information, or other sensitive information is accessed, used, stored, or shared may require additional notice or consent before the new use begins.
